The Associate Director of Admissions Processing is a key leadership role responsible for orchestrating the strategic management of admissions operations and communication systems. This position oversees the execution of decision communications, application processing, and data management while leading a dedicated team of processing staff. This role combines technical expertise with strong leadership abilities to ensure accurate and efficient processing of applications while maintaining data integrity across all platforms. The position requires exceptional project management skills to coordinate workflow, supervise staff and improve Admissions processes. The successful candidate will analyze enrollment trends, generate critical statistical reports, and provide strategic insights to support enrollment goals. This influential role demands a detail-oriented professional who can balance multiple priorities while maintaining high standards of accuracy and efficiency in admissions operations. The Associate Director will collaborate closely with the Executive Director of Admissions to ensure departmental goals are met through innovative process improvements and effective team leadership.

Responsibilities

Team Leadership, Development, & Supervision - 30
- Supervises and mentors Processing staff and Administrative Assistant.
- Creates and maintains work schedules, approves time-off requests, and manages workflow distribution
- Provides ongoing training and professional development opportunities
- Establishes performance metrics and conducts regular evaluations
-Develops process improvements and automations
-Provides training for Admissions staff on functionality of CRM system and other key processes.
-Provide ongoing technical support and guidance to admissions team members.
-Oversee the execution of decision communications including printed letters, and packets, emails and digital letters.  - 30%

CRM Management & Data Processing - 30
- Serve as the primary CRM administrator and technical expert for the Office of Admissions - undergraduate
-maintain the Admissions CRM  instance environment including portals, applications, and decision workflows
-Directs the processing and evaluation of admission applications, ensuring accuracy and timeliness
- Establishes and maintains quality control procedures for data entry management and data integrity.
-Loads test score data and strategic name buy purchases
- Oversees document imaging systems and electronic file management
-Ensures admissions mail outs are accurate and completed in a timely manner.
- Coordinates with IT department to resolve technical issues and implement system updates
-Develops and maintains standard operating procedures and process improvements for application processing - 30%

Reporting & Analytics - 15
-Generates daily, weekly, and monthly admission reports for various stakeholders
-Analyzes enrollment trends and provides statistical data for institutional planning
-Monitors application completion rates and processing timelines
-creates and manages reporting dashboards to provide real-time insights into application metrics
-Creates custom reports for Executive Director and other senior administrators- 15%

Systems Administration - 10
-Serves as primary administrator for admission-related technology systems
-Manages user access and permissions for admission databases
-Coordinates system upgrades and implementations
-Conducts regular audits of Admissions data and systems to ensure data integrity
-Ensures data integrity across multiple platforms
-Develops and maintains system documentation and training material -10%

Project Management - 10
-Coordinates special projects as assigned by Executive Director
-Oversees seasonal processing initiatives during peak admission periods
-Develops and implements process improvement initiatives
-Collaborates with other departments on cross-functional projects
- Analyze processing metrics to identify bottlenecks and implement solutions
-Identify opportunities to improve efficiency through automation and process redesign -10%

Other - 5
- Performs other duties as assigned by the Executive Director of Admissions.
-Stay current with industry best practices and emerging technologies in admissions processing

Required Qualifications

Educational Requirements
Bachelor's degree

Other Required Qualifications
Knowledge of and ability to use Microsoft Office programs; CRM systems, and student record management systems.

Required Experience
Two to Three years of related experience

Preferred Qualifications

Additional Preferred Qualifications
Knowledge of Slate CRM, Banner, and Mainstay system.

Preferred Experience
Four+ years of related experience
